Information on the processing of personal data
Under Article 13 of Regulation (EU) 2016/679 («GDPR»), we explain how we process the personal data of people who visit this website, write to us or book a stay.
Data controller
Aventino Inn S.a.s., registered office at viale Aventino 98, 00153 Rome, Italy, VAT number IT12502361004. For any privacy question you can write to info@aventinoinn.it.
What data we process and why
Browsing data. Like any website, the server automatically records some technical data: IP address, date and time, page requested and type of browser. They are needed to run the site and protect it from abuse. Legal basis: our legitimate interest (Art. 6(1)(f) GDPR). They are kept for the period set by the hosting provider, unless needed to investigate offences.
Contact form. If you write to us through the contact form, we process your name, email, phone number (if you give it), dates of stay, number of guests and your message. We use them only to reply and to prepare an offer. Legal basis: pre-contractual steps taken at your request (Art. 6(1)(b) GDPR). The message is kept in the private area of the website and in our mailbox for 12 months. To prevent repeated submissions, your IP address is used in encrypted form for one hour and then deleted.
Online bookings. The booking form on the «Booking» page is provided by TeamSystem Hospitality (Hotel in Cloud). The data you enter (name, contact details, dates, any requests and payment or guarantee details) are used to manage your booking. Legal basis: performance of the contract (Art. 6(1)(b) GDPR). TeamSystem processes the data on our behalf as data processor.
Your stay. On arrival, Italian law requires us to record your identity document details and send them to the Police Headquarters (Questura, Art. 109 of the Consolidated Law on Public Security). We also process the data needed for the Rome city tax, tourism statistics and tax documents. Legal basis: legal obligations (Art. 6(1)(c) GDPR). Tax documents are kept for 10 years.
WhatsApp, phone and email. If you contact us this way, we process the data in your message or call to reply to you (Art. 6(1)(b) GDPR). WhatsApp is a Meta service, which processes data under its own privacy policy.
Google map. The map on our contact page loads only if you press the button to show it. From then on, Google receives some technical data from your browser, such as your IP address. Legal basis: your consent, given with the click (Art. 6(1)(a) GDPR).
Do you have to provide your data?
No, but without the requested data we cannot reply to you or confirm your booking. Identity document details at check-in are required by law.
Who we share data with
Your data are never published. They may be received, only as far as needed, by:
- the website hosting provider and the email provider;
- TeamSystem, for the property management system and the booking form;
- our tax advisor;
- the authorities required by law (Police Headquarters, Rome City Council, ISTAT, Italian Revenue Agency).
We do not carry out profiling or automated decision-making.
Transfers outside the European Union
Your data stay in the European Union. The exceptions are Google (if you load the map) and WhatsApp (if you write to us there): these US companies take part in the EU-U.S. Data Privacy Framework.
Your rights
At any time you can ask us to access your data, correct it, delete it, restrict its use, receive it in a readable format or object to its processing (Articles 15-22 GDPR). You can also withdraw your consent, without affecting past processing. Just write to info@aventinoinn.it. If you believe your data are processed unlawfully, you can lodge a complaint with the Italian Data Protection Authority, Garante per la protezione dei dati personali (www.garanteprivacy.it).
